Registration form

How do I register for a Port Course?
To register, please complete the online registration form for online courses or combination & Antwerp courses.
You will receive an automated message on that webpage after the registration form has been sent successfully. It will be processed by APEC, upon which you will be contacted personally within 5 to 8 days to confirm your details.

 

Online port courses

What is the final date to register for an Online Port Course?

When applying for a scholarship, you can register for an online port course up until 2 weeks prior to the start of the course. After this date, your registration will no longer be accepted.

When not applying for a scholarship, you can register and participate in an online port course as soon as payment is confirmed. We do advise to register 1 week prior to the start of the course.

What does the registration fee entail?

Our online courses offer 6 to 8 weeks of online lectures, including:

  • access to the APEC online learning platform up to 2 months after course ending
  • live sessions with our experts, up to 3 times a week (depending on the programme)
  • recorded sessions from our experts, always accessible via the online learning platform
  • access to exclusive, downloadable content to support your learning journey (all presentations from live sessions included)
  • professional guidance from our colleagues at Port of Antwerp International and Port of Antwerp

 

Which platforms are used during the course?

The online learning platform is fully web based and therefore accessible globally. Your APEC project executive will send all the necessary information 1 week prior to the start of the course.
Live sessions are organised on Microsoft Teams.

Which are the requirements to receive a certificate?

To receive a certificate of attendance, we ask to attend 70% of the live sessions and to complete a final assignment to be presented at the end of the course.
If you cannot fulfill any of these requirements due to certain circumstances, please contact your APEC project executive directly.

Antwerp port courses

What is the final date to register for an Antwerp Port Course?

When applying for a scholarship, you can register for an Antwerp port course up until 2 months prior to the start of the course. After this date, your registration will no longer be accepted.
The necessary documents for your visa application (such as invitation letter, hotel confirmation, …) will be provided to you after the selection process has been finalised.

When not applying for a scholarship, you can register and participate as soon as payment is confirmed. Please take into account the visa procedures of your country (which for some countries can take up to 6 weeks) when registering. The documents that you need for your visa application will be provided to you after your registration has been finalised and the payment has been completed.

What does the registration fee or scholarship entail?
The registration fee covers the tuition, documentation, local transport during course days, breakfast, lunch and dinner (except for Friday, Saturday and Sunday), accommodation at Hotel Mercure Antwerp City South (14d/13n) and insurance.

What is NOT covered by the registration fee or scholarship?
International transport, airport transfer, dinner on Friday, Saturday and Sunday, extra meals and nights at the hotel are at your own expense. Extra nights at the hotel need to be arranged directly with the reservation desk of the hotel at HB664-RE@accor.com.

I need a visa to travel to Belgium. What do I need to do and what is arranged by APEC?
After APEC has received the payment or you have been granted a scholarship, APEC will send you an invitation letter that you will need for your visa application at the Embassy of Belgium in your country. APEC will inform the Embassy of Belgium (in your country) of your arrival.
APEC does not arrange for your visa nor is it responsible for any delays in the process.

What if I do not want to stay at the suggested hotel?
You do not have to stay at the hotel that is suggested by APEC, if you do not wish to. In this case, APEC will provide you with an invoice without accommodation.
Keep in mind that APEC only arranges for a bus to transfer the group from the suggested hotel to the Port House. If you do not wish to stay at the suggested hotel, you will need to arrange your own transfer each day.

Can I prolong or shorten my stay?
Always inform the APEC Project Executive and the hotel directly if your planning deviates from the original reservation. Extra costs are at your own expense.

Can my partner accompany me?
Your partner can stay with you at your room in the hotel. Please inform the hotel directly to arrange the related costs. 
APEC does not allow for your partner to accompany you at the course itself.

How do I reach the hotel?
The hotel is located not far from the city centre of Antwerp. You can find directions to the hotel at their website.

What is the day-to-day planning of a Port Course?
A Port Course takes place from Monday till Friday, for a duration of two weeks. The schedule of each day can differ, but is usually from 9h00 till 16h30.
There are no activities planned in the evenings and in the weekends.
You will receive a detailed program on the first Monday of the course.

Where does the course take place?
APEC is a subsidiary of the Port of Antwerp and holds its offices in the new Port House, Zaha Hadidplein 1, 2030 Antwerp, Belgium. All lectures take place at the new Port House. For site visits in Antwerp and other cities and ports, APEC arranges for bus transport.

Is there Wifi?
There is Wifi in the hotel (check with the reception desk of the hotel) and in the Port House (check with the APEC Project Executive). In Antwerp, it is common for coffee shops (with consumption) and stores to have free wifi. You can also access the free wifi of Antwerp at certain wifi-zones.

Is there a dress code?
There is no specific dress code. The closing ceremony at the last day of the course is however more formal.
It is best to check the weather report before you leave for Belgium. It can sometimes be rainy here, so an umbrella or raincoat is never a bad idea.

Combi port courses

What is the final date to register for a Combi Port Course?

When applying for a scholarship, you can register for a Combi port course up until 2 months prior to the start of the course. After this date, your registration will no longer be accepted.
The necessary documents for your visa application (such as invitation letter, hotel confirmation, …) will be provided to you after the selection process has been finalised.

When not applying for a scholarship, you can register and participate as soon as payment is confirmed. Please take into account the visa procedures of your country (which for some countries can take up to 6 weeks) when registering. The documents that you need for your visa application will be provided to you after your registration has been finalised and the payment has been completed.

What does the registration fee or scholarship entail?
The registration fee covers the tuition for the online and Antwerp part of the course, documentation, local transport during course days, breakfast, lunch and dinner (except for Friday, Saturday and Sunday), accommodation at Hotel Mercure Antwerp City South (7d/6n) and insurance. You will be informed of your access to the online platform 1 week prior to the start of the course. Payment & Scholarships

I am a paying participant. How do I proceed?
As soon as APEC has received your registration, the Project Executive will contact you to confirm your contact details and send you the invoice. You can find the bank details on your invoice. The payment needs to be received by APEC in euros and in full, via bank transfer. Payment in cash is not allowed.
Please note that all prices posted are excluding VAT.

I am a paying participant and I need to cancel. What are the general conditions in this case?
Contact your APEC contact person as soon as possible. Consult the general conditions, that have been sent to you together with your invoice, to know the specifics of our cancellation policy.

Am I eligible to receive a scholarship?
Scholarships only apply for the Port Courses, both in Antwerp and online. They cannot be awarded for special courses and/or executive courses.
Scholarships are awarded to candidates from countries with whom our government has a bilateral agreement.  As the amount of scholarships is very limited and the demand for them is very high, a scholarship can only be awarded once. If you have received a scholarship in the past, you will no longer be eligible to receive one again. You can, however, still come to the course as a paying participant.

I want to apply for a scholarship. How do I proceed?
The final date to apply for a scholarship differs from course to course. You can find it on each information page of the port courses. You need to fill in the registration form before this date, indicating that you wish to apply for a scholarship.
The week after the final date to apply for a scholarship, all the applications will be discussed with our respective partners, upon which the APEC Project Executive will inform you personally of the outcome.
Please note: a scholarship is NOT transferable to another person/course/year.

I have received a scholarship and I need to cancel. What are the general conditions in this case?
Contact your APEC contact person as soon as possible. Consult the general conditions, that have been sent to you together with your invitation letter, to know the specifics of our cancellation policy.

Cancellation policy - COVID-19

General cancellation policy
Our cancellation policy is clearly explained in our general conditions, which you receive together with the scholarship or payment confirmation.

COVID-19 cancellation policy

COVID-19 will continue to prevent unrestricted global travel for some time. We have planned to organise the first courses in Antwerp in October, which is always to be confirmed. We will follow all respective guidelines and adjust our schedule accordingly when necessary. We understand that you might have reservations about scheduling a trip to Antwerp. Therefore, we would like to share the following guidelines with you. These are valid for the courses with travel to Antwerp (combi or live courses).

Live courses: cancellation procedure

The live courses in Antwerp will be confirmed at the final date of application for the scholarship, which is approximately two months before the start.

We consider the following options:

  • The course takes place as scheduled, which gives you time to make travel arrangements and to complete visa procedures. You will receive the invoice at the moment of the confirmation of the course.
    • If, for any reason out of your control (local restrictions, visa delays), you are unable to organise your trip, APEC will issue a refund of the course fee or give you the possibility to participate in another course.
  • The course converts to an online environment: you will be informed about the new arrangement of the course and get the possibility to confirm your participation.
  • The course is organised in Antwerp on a later date: you will get the possibility of confirming your participation
  • The course gets cancelled : we will refund the total amount received by us for your participation in the course.

 

Combi Course

  • The online part of the combi course will take place as scheduled in the calendar.
  • The week in Antwerp will be confirmed two months before the scheduled date of arrival, giving you ample time to make travel and visa arrangements.

If the week in Antwerp cannot be organised at the foreseen moment due to COVID-19 travel restrictions, there are two possible options:

    • The week in Antwerp will be rescheduled to a later moment,
    • The week in Antwerp gets cancelled. In this case you will get a refund of the corresponding part of the invoice
  • If, for any reason out of your control (local restrictions, visa delays), you are unable to organise your trip, APEC will issue a refund of the course fee or give you the possibility to participate in another course.

 

Scholarships

  • If the course is cancelled or organised at another moment, no scholarships will be awarded at that moment. In that case, it is possible to apply for another course that suits your profile.


General remarks regarding travel arrangements

  • APEC does not make any travel or visa arrangements for the participants, nor can it be held responsible for any delays in the process.
  • APEC cannot be held responsible for the flight cancellation or delays by airline companies 
  • If your flight gets cancelled due to the Covid-19 travel restrictions, please inform us as soon as possible. In this case, the registration fee will be fully refunded. If you were granted a scholarship, your scholarship will be revoked.
  • If your flight is confirmed and you cancel the trip by your own decision, the registration fee will not be refunded.
